Finalized Schedule & Trip Details – April 30, 2015
Our trip to Hershey is just a little over a week away, so now that we have the final schedule of when our performance times are for the Music in the Park festival, it seemed like a good time to go over some of our last-minute details. Originally there was going to be a parent meeting for this trip, but since it’s just a one-day up-and-back trip with no hotel stays, rooming lists, or packing (aside from performance clothes) involved, this letter should answer all questions. Don’t hesitate to contact me at [email protected] or 412-318-1400 x3047 if I miss something!

T-Shirts
Everyone going on the trip filled out the t-shirt order form on the iPad passed around in class. We’ll need your $10 ASAP (cash is fine; if writing a check make it payable to Choral Parents Association of NHSD). The shirts will have the names of each person going on the trip on the back in the shape of a Hershey’s Kiss!
Attire for the Day
You should plan to wear your T-shirt in the park, so it would make the most sense to wear that on the bus in the morning. You should have your regular concert black and white (or black and red for NH Singers) brought with you (in a garment bag would be best to avoid wrinkles!). We will have a chance to change into our performance clothes once we get to the Linglestown Church. Hopefully they will allow our groups to sit and watch each other (we were permitted in both Cedar Point and at Kings Island to do this). Once all 3 groups have performed, we will change back into our park clothes and load the bus for the park. You may keep your belongings on the bus – we have the same bus all day. Take what you need for the park, though. We will most likely not have access to the bus until departure at 9:00PM.
Medication
We do not have a school nurse accompanying us on the trip, so if there are specific medication needs, please notify me ASAP. I will have the emergency cards and a “field trip kit” (basically a first aid kit) from the nurse’s office. If a parent would like one of the adults to keep a specific medication during the day, we are happy to do that. Just give us specific instructions as to when the medication needs to be administered. I will drop off our medical information to the First Aid center at HersheyPark so that they can have all of our emergency info in the highly unlikely event of an accident at the park.
Communication
I’ll be posting updates on our various social media outlets throughout the day so that parents can know what we’re up to. All of our accounts are connected to each other, so if I post something on Instagram it sends a tweet, which then also posts to our Facebook page. And if you’re not on any of those, you can go to the choir website and see our Twitter feed on the right column of the main page.
It took me 4 years to come up with this (and once the light bulb went off I thought “why did I never think of this before?”), but I reactivated an old cell phone and added a line to my account for super cheap for the sole purpose of having a way for students and parents to contact me on trips. If you need to contact me for any reason during the day of the trip, you can reach me at 412-600-7773. I’ll have that phone with me all day. I’ll also give this number to all of the students so if there are any issues, I can easily be contacted by text or voice.
Since we aren’t arriving at the park until close to 1:00 and are meeting just 4 hours later at the awards ceremony, I’m not going to have a check in time. We tried that one year and with it being one of the first weekends the park is open, some students got to go on 1 or 2 rides before having to check in, or they were stuck in line at the time of a check in. So I’m just using our meeting times as the check in points. Everyone will have my number, and if there are any issues, we can get to them quickly. If there are medical issues, the First Aid center will call me immediately. We should be good.
I will insist that everyone have a group that they are riding with…no one should be wandering the park alone. I’ll also be calling on the seniors to be leaders and make sure that everyone is OK and to alert me if anything happens. Sharon Pritchard and Lauren Sarazen will be with me as chaperones during the day as well.
Permission Slips
The Individual Passenger Contracts that you all signed and returned over a month ago will serve as the permission slip for the trip. That included emergency contact info, and that will be in the binder with us during the day. Again, if there are any problems or you need to contact me, call the number listed above.
I think that covers everything during the day. Having done this for several years with great success, I have no doubts we will have a fantastic day. I’m looking forward to the judges’ comments on our performances and always enjoy seeing the bonding that happens in the group on trips like these. Here we go!!!
